CANCELLATION | MODIFICATION | REFUND 💰

I want to postpone my adventure

Postponing your trip? No problem—Wildhartt will always prioritize this option.


If you inform us at least 7 days in advance, you also have the option to transfer your booking to someone else, as long as they meet the same conditions required for the trip (including medical and physical abilities). This is possible as long as the contract has not yet taken effect.


In this case, any modification fees imposed by our service providers will apply. The original booker and the new participant will both be responsible for covering the remaining balance, as well as any additional costs related to the transfer.


If you have any questions or need help with the process, just reach out—we’re here to make it as smooth as possible!

How to cancel my reservation

Want to travel worry-free? We offer cancellation insurance for all our expeditions outside your country of legal residence. Just select it when booking online. One important detail: the insurance takes effect 4 days after purchase.


👉 With cancellation insurance: If something unexpected comes up, you’ll be refunded for accommodation, activities, local transport, equipment, and food.


👉 Without cancellation insurance: Payments are non-refundable unless you cancel at least 30 days before departure.


Last-minute change of plans? If you notify us at least 7 days before departure, you can transfer your spot to someone else, as long as they meet the same criteria (fitness level, medical conditions, etc.).

Change of reservation

Do you want to change your dates or transfer your booking to someone else? Contact us as soon as possible, and we'll see what we can do!

👉 Change of dates : Subject to availability and our approval, we can offer you new dates for your expedition.

👉 Change of participant : If you wish to give up your place, the person replacing you will have to meet all the physical and technical conditions required (see the special conditions of the expedition). We must validate this change before making it official.

In all cases, we will do our best to find a solution, but some changes will not be possible. So it's best to let us know as soon as possible! ⏳

Are children allowed on expeditions

By default, our expeditions are not open to children, unless otherwise stated on the holiday description.

Fancy a family adventure? We offer specially designed family escapades, accessible from the age of 6.

For adventure-seeking teenagers, some expeditions are open to those aged 16 and over, with parental consent.

Health and covid 19

Cancellation due to health restrictions

If the expedition is cancelled due to closed borders or confinement, your trip will be fully refunded.


Cancellation for medical reasons
If you have to cancel due to illness, our standard cancellation conditions apply (see above).

It's up to you to check your documents
It's up to you to make sure you have all the documents you need to travel: passport, identity card, visa, medical certificate, compulsory vaccinations, etc.

Please note: without the right documents, you can't leave!
If you are unable to travel because of a missing or incorrect document, no refund will be given and Wildhartt cannot be held responsible.

Can I privatise this expedition for my group?

Yes, all our expeditions can be privatised for a group already formed, on the dates of your choice.

To make your request, go to the expedition that interests you and click on "Privatise the expedition". We'll take care of the rest!

Can I pay a deposit before the full payment is made?

When booking, you have the option to choose your preferred payment method.  


  1. With our flexible payment solution, you can opt to pay a deposit of at least 20% of the expedition price. The remaining balance will be automatically collected before departure.  
  2. Another convenient option is our installment payment plan. This allows you to pay a set amount each month until the full payment is completed, giving you greater flexibility in managing your budget.

What is the maximum number of participants on an expedition?

The maximum number of participants allowed per group is specified for each expedition. Typically, we accept up to 6 adventurers per group on average, though this may vary depending on the nature of the expedition.  


Each trip requires a minimum number of participants to be confirmed.  

If the trip cannot take place due to not meeting the required minimum number of participants, you will be informed no later than:  
  • 20 days before departure for trips longer than 6 days;  
  • 6 days before departure for trips lasting between 2 and 6 days.

In this case, we will fully refund any deposits and payments made.

When is the last day to register for an expedition?

Registration for expeditions abroad closes automatically 20 days before departure, so don't take too long to register.

Registrations for one or two-day micro-expeditions close 6 days before departure. And yes, at Wildhartt we are flexible 😇

BEFORE DEPARTURE 🏁

When will I know if my departure is confirmed?

Your expedition is confirmed once the minimum number of participants has been reached. You can check this information directly on the expedition page, in the departure dates section.


For each date, you will see :

  • "Departure confirmed" if the threshold has been reached.
  • "X to confirm" if there are still participants missing to confirm the departure.

As soon as your departure is confirmed, you will receive an email notification.


⏳ When do I receive the final confirmation?

  • For a shipment of more than 2 days: no later than 10 days before departure.
  • For a shipment of less than 2 days: no later than 3 days before.


💡 Good to know: We can close an unconfirmed date at any time, but we'll always make sure to let you know within these timescales.

Can we add a person if the team is already full?

Normally it's difficult to exceed the maximum number of people on an expedition. However, you can always contact us, just in case there's a cancellation 😋

Will I be in contact with the other participants and the guide?

Ten days before your departure, you'll be in touch with the other participants and the guide via a Whatsapp chat. You'll be able to ask all your questions, organise your carpool or simply share your photos, feelings or good mood 🤪

What the price does not include

Each expedition has its own specific features. You can consult the expedition page. In general, our expeditions include private guiding in small groups, activities, full board and accommodation for the duration of the stay.

Transport to the meeting point and cancellation and/or repatriation travel insurance are not included.

How can I prepare myself for an expedition

To prepare for an expedition, there's nothing like cardio training once or twice a week. Train progressively week after week by going running, cycling, climbing, etc. Be careful not to injure yourself! For specific training, contact us for more advice.

What papers/information do I need to send?

You will receive two emails after registering:

  1. The first will contain all the practical information
  2. The second will ask you either to send us your repatriation insurance for an expedition abroad, or to take out one via Wildhartt. Finally, we ask you to sign a disclaimer in case of dangerous or premeditated behaviour during the expedition.

Are There Waiting Lists for Our Expeditions?

If you would like to be put on a waiting list for an expedition, simply go to the page for the expedition in question and fill in the "pre-registration" field. If you would like to pre-register a group, please contact us with the name of the expedition, the departure date and the number of people you would like to put on the waiting list. We might be able to arrange a private date for you and your group.

How do I keep up to date with news related to the experience?

We'll send you two confirmation emails within four working days of your booking. You can then contact us at any time before, during or after your expedition. In particular, you will be added to a Whatsapp group ten days before your expedition in order to facilitate communication between you, your guide, the other participants and DiscoveRent.

Where to find the equipment list

Once you have booked your expedition, you will receive an email containing all the information you need to prepare and set off on your expedition.


You will also be added to a Whatsapp conversation with the other members of your expedition. You will be able to ask all your questions to your guide and/or the Wildhartt Team.


Before you leave, we'll be organising an informative digital meeting so that we can get together and answer any last questions you may have.

INSURANCE AND LIABILITY 🤓

Where can I find my repatriation insurance certificate?

A repatriation certificate is a document proving that your medical expenses and potential repatriation are covered. This document must be valid for the duration of the expedition.

The certificate is normally issued to you when you take out repatriation insurance (usually by email). If you do not have it, or if you have lost it, you can always request one from the travel insurance you have taken out.

What is a liability waiver?

When you sign up for one of our expeditions abroad, we ask you for two documents by default:

  • Proof of repatriation insurance
  • A completed and signed liability waiver

👉 What is a liability waiver and what is it for?

The liability waiver makes you responsible in the event of an accident or damage to equipment caused by dangerous/risky or irresponsible behaviour on your part. In this specific case, we will call on your civil liability. In short, such a case could arise if you do not expressly follow one of the instructions given by the professional guide who takes you. 🥴

Insurances

For our expeditions that take place outside your home country, we ask you to take out "Repatriation Assistance" insurance. We suggest that you take out comprehensive insurance (cancellation and repatriation) or cancellation insurance when you book your expedition.

Comprehensive insurance covers unforeseen events when travelling, such as cancellations, missed flights, delays, and damaged or lost luggage. It also covers repatriation, medical expenses abroad and forced extension of your stay. In the event of an accident, it provides compensation, as well as legal support and medical assistance.

Situation sanitaire et covid 19

In the event of cancellation of an expedition due to the health situation; closed borders and/or confinement, the trip will be reimbursed in full. In the event of cancellation due to illness, the above cancellation conditions will apply. The Customer is responsible for fulfilling and paying for all police, customs and health formalities required for the reserved trip, such as passport, national identity card, residence permit, parental authorisation, visa, medical certificate and vaccination booklet.

In the event that the Customer is unable to travel due to non-compliance with administrative and health formalities, the price paid will not be reimbursed, nor will the Company be held liable.

How many participants are there in a Wildhartt group?

We prefer small groups to create a family atmosphere and minimise the impact of our expeditions on the ecosystems. Most of our expeditions are open to a maximum of 6 people.

A group can vary between a maximum of 6 and 12 people, depending on the sport practised and the destination of the expedition.

Where do the Wildhartt expeditions take place?

All our expeditions take place in Europe. At Wildhartt we're big fans of local tourism. That's why our trips are limited to the beauty of European nature. Believe me, there's plenty to do 🙌

What are the prices of our adventures

The prices of our adventures are displayed directly on the website page of the adventure.

How to find out how many spots are left/available in a Wildhartt trip

You can see the number of participants and the number of spots available in the "Choose your date" box directly on the webpage of the adventure.

The wildhartt emergency number

In the event of a question, problem or complaint during shipment, an emergency number is given to you in the pre-departure Whatsapp conversation. If you can't find this number, here are the two Wildhartt emergency numbers:

I have my own adventure equipment

Of course, if you prefer to use your own equipment, please contact us before you leave so that we can check that it complies with standards and is suitable for the expedition.


Here are a few important points to bear in mind:

✔️ If your equipment is validated, you will be able to take it with you.

❌ No discount will be applied to the shipping price.

🎒 You are entirely responsible for your equipment: in the event of theft, breakage, loss or damage, Wildhartt cannot be held responsible.

What happens if the weather is bad?

At Wildhartt, nature is our playground – rain or shine. Whether it’s pouring, snowing or windy, our guides adapt the route, activities and accommodation to give you the best possible experience.

Unless safety is at risk (storm, avalanche, flooding...).
In those rare cases, we may cancel an expedition, but no earlier than one week before departure.

If that happens:
→ You can reschedule your adventure at no extra cost,
→ Or get a full refund.


YOUR RETURN FROM ADVENTURE 📆

How does my return from the expedition go?

Once you're back, you'll receive all the photos of your expedition by email and whatsapp. You'll also receive a short summary message. Nostalgia will give way to a new start, we're sure of it 🥰

How to leave a review or comment on the shipment

PAYMENT 💸

I have a gift card / discount code, how do I use it?

If you have a discount code, you can enter it on the "configuration" page. You will arrive on this page after selecting the date of your expedition.

🧾 How do I get a receipt for my payment?

A receipt of payment has been sent to you by email following your registration. If you need an invoice, please contact us directly at hello@wildhartt.com.


Do you accept holiday vouchers?

Yes, good news! We accept ANCV holiday vouchers.

For a partial or full payment using ANCV holiday vouchers, follow these steps:

  1. Book your expedition directly on our website using your credit card to secure your spot(s).
  2. Send us your ANCV vouchers by registered mail to:
    Wildhartt, 19 Avenue des Volontaires, 1160 Brussels, Belgium.
  3. Email us at hello@wildhartt.com to let us know that your vouchers are on the way.
  4. Once we receive your vouchers, we will refund the equivalent amount directly to the payment method used for the booking.

Are instalment payment options available?

Yes, absolutely! At checkout, you can choose Alma to pay for your booking in 2, 3 or 4 instalments. Just select Alma during checkout and follow the instructions. It’s simple, fast, and secure.

  • 35% for accommodation and meals, essential for your comfort.
  • 10% for gear and transport, to ensure safety and smooth logistics.
  • 25% for organisation and logistics, from first contact to the end of your trip.
